Access Task Server is a completely automated information management system. It can be used to collate and distribute key business data (to staff, customers and suppliers), to generate work requests, and to initiate any number of automated sub-routines.
At the core of the system are configurable templates, used to monitor events within the accounts database. The information obtained by these templates can then be used to trigger a number of 'Actions'. Any data field can be flagged for monitoring and the rules for prompting an Action are completely flexible. For example, a template can be set up to check every customer's outstanding balance, at one-minute intervals, if required. When balances change in line with pre-determined guidelines (i.e. go over a certain limit) then Actions are automatically activated.
Actions available:
- E-mail - Send the monitored data to any number of internal or external recipients.
- Fax - Send data using a range of fax software.
- SMS (Short Message Service) - Send data to any SMS compatible hardware, including mobile telephones.
- Publish to Outlook/Exchange - Publish data to Microsoft Outlook, where it can then be viewed by anyone with authorised access.
- ODBC - Use the data to automatically create or update other records, including those held on other applications. (this action requires Transaction Broker)
- Web Page - Post data directly to HTML pages on Intranets, Extranets and the Internet.
- XML (Extensible Mark-up Language) - Transfer the data between applications (or send it to Customers and Suppliers) using XML formatting.
- Save to File - Send data to a text file, where it can then be worked on using a range of applications (such as Microsoft Excel).
- Application Automation - Use the data to trigger other applications and programs.
- Run Crystal Reports - Use monitoring to collect all the data required to compile a document (i.e. an end of month sales report) and to post it directly into the appropriate Crystal Reports template.

For example, an E-mail Action could be used to notify internal staff that a given customer has exceeded their credit limit... while an SMS Action is sent to the the account manager's mobile phone... and an ODBC Action immediately places the account on stop...
all with no user intervention.
