   ACCESS ACCOUNTS l Modules - Stock Control

Optimise your stock levels.

Holding too much stock could lose you money, but holding too little will certainly lose you Customers. The Access Stock Control module will help optimise your stock levels, enhancing efficiency and profitability.

Handling Enquiries
Within Access, finding a specific item of stock in a database containing thousands of records is fast and easy. If the item you select is superseded, the system will automatically recommend your specified replacement. If it is out of stock, a pop-up list displays the alternatives of your choice. If it is the major component of a bundle, the system will automatically prompt the addition of dozens of associated items. With a picture field and up to eight pages of free format notes, you can create a visual catalogue of your products, helping Staff identify and describe items. This sales information can be displayed while processing sales orders.

Stock Availability and Valuation
Stock Control facilitates 'Just In Time' stock management. An order schedule report forecasts stock reorder requirements for days, weeks or months ahead, based on open sales orders, open purchase orders and the required by date on each order detail line. The system will generate a purchase request for sales orders where there is insufficient stock to fill the order. Stock Control takes account of existing stock levels, Back to Back order requests and purchase orders when calculating recommended orders. Four methods of valuation are maintained: FIFO (First In First Out) Cost, Latest Cost, Average Cost and Weighted Average Cost. Full movement analysis (quantity and value, in and out) is instantly available for every period for the last three years. Transaction reports differentiate between sales, purchases, losses and adjustments.

Ten Price Bands
Customers can be allocated one of ten standard selling prices or quantity discounts. Each price band has a user definable label, such as 'trade price' or 'retail price'. Individual buying prices can be stored for up to ten Suppliers. All prices can be entered individually or calculated as a percentage of a base selling or cost price. A single command can recalculate a range of stock prices. Each Stock Record stores a huge amount of information and, to facilitate rapid entry of new records, there is a 'duplicate' option.

Price Matrix
The Price Matrix module allows a unique price to be stored for every combination of Customer and stock. Sales Order Processing selects special or standard prices as appropriate. A warning message is displayed if discounts take the sales price below the cost price, and the profit margin can be displayed - line by line and in total - when entering sales orders.

Intrastat
Each Stock Record stores its own commodity code, country of origin and net mass (in kilos). These details are printed on the Intrastat arrivals and dispatch reports required when trading with EC states.

Sub-Analysis of Stock Records
All Stock Records can be sub-analysed to six levels, with the method and terminology chosen to suit your type of business. You could, for example, analyse by location, warehouse, size, colour and batch lot, and still have a further level of analysis available. Full quantity and value information is tracked and consolidated, at each level of sub-analysis for each Stock Record.

Landed Costs
This powerful facility can be set up in a number of ways to help your company track the full cost of any stock line, including charges such as haulage, storage and duties. You can select any combination from: adding fixed costs to shipments of stock; adding a percentage of stock value to shipments of stock; and allocating purchase invoices (or parts of purchase invoices) to a shipment of stock.

BOM Assemblies - Parts Explosion
An assembly can include an unlimited number of component Stock Records or price line items. Now you can see at a glance if there are sufficient materials available to build an order. A single command will build multiple assemblies and Access makes all the necessary stock adjustments.

Serial Numbers and Bar Codes
Access tracks serial numbers as they move in and out of stock. You can trace serial numbers by Stock Record, Customer and Supplier. Access will accept input from bar code readers. The Stock Control module forms an ideal base for companies seeking BS 5750 or ISO9000 approval.
